This report is one of the key deliverables specified in the project scope statement. It contains a summary of the execution phase tasks performed to date and presents the actual data results obtained in a form that is hopefully suitable for inclusion within an appendix of the third edition of the textbook “Information Technology Project Management”, authored by the project sponsor. Subsequent project activities (i.e. modifications and additions to the data results for the final report) will be influenced by feedback on this report provided by the sponsor and possibly the publisher.

Grouped By Process Group / Knowledge Area Subgrouping by Process
The objective of the Tempting Templates project is to provide an organized list of project management templates that are available from resources on the Internet or in literature. All members of the project team were involved in performing this research. To minimize the possible duplication of effort, the activities were partitioned into two phases: (1) obtain a list of web sites that offer free project management templates and (2) obtain a list of templates from those web sites.
Obtain a list of web sites that provide project management templates. The end product of this effort is not a detailed list of templates but rather a list of web sites that contain templates. The actual search for template information is a separate activity that can begin once potential web sites have been assigned to each team member.
1. Find at least 10 web sites having free project management templates
2. Find the most number of unique web sites that were not found by other team members.
Find at least 20 unique web sites having free project management templates after removing duplicates from other team members.
To reduce the amount of duplicate web sties, each team member used different web search engines. Below are the web site assignments per team member. If the individual goals were not satisfied, other web search engines can be found and used by searching on the string “web search engine”.
The following character strings are suggestions for initiating the searches. They are ordered from most to least restrictive.
· “free project management template”
· “project management template” “free”
· “project management” “template” “free”
· Then leave out the “free” to see what other templates are available at a cost
· “project management document”
All team members used the following template to gather web site information. A common format helped to consolidate information gathered in parallel by all team members.

A spreadsheet was used to consolidate and analyze the data gathered by all team members. There were 54 unique web sites found that offered project management templates, 35 of which offered free templates with no required registration or membership. This surpassed our team goal of finding 20 unique sites with free templates. The following table lists the number of templates advertised on each unique web site. Note that in this document, the URL column contains hyperlinks to the actual web site.

As previously mentioned, 35 of the 54 sites offered totally free templates, some of which were samples of other templates that could be purchased. 11 sites required either a registration or free membership to access the templates. 18 of the 54 sites required a fee for either a membership or for direct purchase of templates.
As expected, several web sites (20 of the 54) were found by more than 1 team member. The following table and chart shows the frequency at which web sites that offered project management templates were discovered by multiple team members. There were 34 web sites that were found by only 1 team member and only 2 web sites that were discovered by all 4 team members. This shows that the parallel search strategy did not have excessive overlap.

The following table shows the individual efforts of each of the team members. The individual goal of finding at least 10 web sites was surpassed by all team members. Bill found the most unique web sites offering free templates that were not found by any other team member.

The next phase involved focusing on the 35 web sites that offered free templates and gathering specific information on the individual templates. The goals of the activity were to gather information on at least 100 templates (25 per team member) and to find at least 1 template for each valid process group / knowledge area combination as specified in Table 2.5 “Relationships Among Project Process Groups, Activities, and Knowledge Areas” on page 46 of the second edition of the textbook.
Again, a spreadsheet was used to construct a template for collecting this information. This template contained columns for each of the following attributes.
Each of the four team members was assigned a subset of the web sites such that the total number of templates to evaluate was approximately equal. Each team member had a selection of approximately 150 templates to examine. It was recommended that the web sites offering the most number of free templates should be examined first to make the most effective use of time.
The results were consolidated, analyzed, and organized. The following table and two charts show a summary of the total number of templates found in each process group and knowledge area categories. The sum total of all templates evaluated was 333 for an average of 83 per team member. This exceeded the first goal for this activity by a factor of 3. However, it was difficult attaining the second goal. Note that there were only three processes for which there were no templates found and these processes were all from the procurement knowledge area.
